POSMS privacy policy
- Policy Statement
Pittwater Offshore Men’s Shed Inc. (POSMS) is committed to protecting the privacy of its members and stakeholders in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). The right to privacy is respected and upheld unless overridden by a serious moral or legal obligation (e.g. in a medical emergency).
- Scope
This policy applies to all POSMS members, volunteers, committee members, and any other persons whose personal information is collected by POSMS.
- Definitions
- Personal Information: Any information or opinion about an identified individual, including name, address, phone number, health information, and emergency contacts.
- Sensitive Information: Includes health information, ethnicity, criminal history, or disability status.
- Member: A person entered into the POSMS register of members in accordance with the POSMS Constitution.

- Collection of Personal Information
- Collect only information that is necessary for safe and effective operation of POSMS activities.
- Seek member consent before collecting personal or sensitive information unless legally required or to prevent serious threat to life or health.
- Notify individuals why the information is being collected, how it will be used, and to whom it may be disclosed.
- Use and Disclosure
- Consent is provided;
- Required or authorised by law;
- Necessary to prevent a serious threat to life or health;
- Needed to investigate suspected unlawful activity.

- Data Quality and Access
- POSMS will take reasonable steps to ensure personal information is accurate, up to date and complete.
- Members can request access to their information and request corrections if needed.
- Requests will be handled confidentially and promptly.
- Data Storage and Security
- Information will be securely stored in locked cabinets and/or password-protected electronic systems.
- Access is limited to authorised committee members.
- Member records will not be left unattended in public spaces.
- Confidentiality
All committee members and volunteers are bound by this Privacy Policy and the POSMS Code of Conduct. Breaches of confidentiality may result in disciplinary action.

This Privacy Policy will be published on the POSMS website: www.posms.com.au

Concerns or complaints about privacy breaches can be directed in writing to the POSMS Secretary via email at community@posms.com.au.
